Yardi employee group shot at OutReach Live

If there’s one thing to take away from Outreach Live 2025, our annual event for multifamily marketing and leasing professionals, it’s that multifamily is entering a new era, and the operators who adapt fastest will lead it. From AI-powered workflows, to smarter marketing strategies, to friction-free leasing, every session showed practical ways teams can boost performance now while preparing for what’s coming next.

Multifamily marketing insights: What operators need to know

Multifamily teams need strategies built for an AI-driven, multi-engine world where renters search, scroll, stream and shop in a loop. Speakers showed operators how to clean up attribution, create content that AI engines can understand and prove ROI with data that speaks to C-level roles.

What this means for operators

  • Clean, structured data and clear attribution strengthen your visibility across AI engines and help you explain performance to executives
  • Performance Max, neighborhood content and high-quality media directly improve leasing outcomes and should be foundational parts of your strategy
  • Performance dashboards in Marketing IQ help operators make smarter decisions and show exactly which channels drive income

Empowering teams with built-in AI

Daniel Davis, associate director at Yardi, showed how built-in AI gives onsite teams immediate, contextual support that improves productivity and protects sensitive data. Yardi’s AI platform, Virtuoso, will soon be embedded across all major Yardi products, helping staff get answers faster, communicate more clearly and work more confidently without relying on unsecured external tools. With features like conversation summaries, AI rewrites, call transcripts and live agent handoffs, teams gain real-time guidance while operators gain stronger consistency and safer workflows.

What this means for operators

  • Built-in AI reduces friction for onsite teams by delivering instant, product-specific support
  • AI tools improve message quality, training and visibility through summaries, rewrites, transcripts and scoring
  • Enterprise-grade AI keeps staff from using unsafe external tools, strengthening data security for operators

What’s ahead for AI in multifamily?

Richard Malpica, Yardi

Yardi Vice President Richard Malpica’s session centered on how multifamily teams can stay ahead in an environment where AI is advancing faster than ever. “Operators need AI that is adaptable, scalable and woven across every workflow rather than locked into siloed tools,” Malpica stated. “Yardi’s approach focuses on AI that supports both sides of the business: elevating the renter experience and helping teams do more with the same staff.”

Malpica also introduced the three-part AI framework of Native AI, Agents and Connectors, which are all designed to help operators access insights and enhance productivity.

What this means for operators

  • Horizontal AI will drive the most impact, giving teams support across transactions, training, operations and insights
  • Agents and the Virtuoso Marketplace create a flexible ecosystem where operators can use pre-built, task-based agents or design their own for needs like follow-ups, move-in workflows, vendor coordination, content audits and more
  • Connectors will let operators query Yardi systems using natural language, making business insights faster to access and easier to act on

Fixing friction in the leasing journey

Paul Yount, Yardi

Paul Yount, industry principal at Yardi, addressed one of the biggest challenges in multifamily: Renters juggle too many steps. Identity verification, applications, insurance, deposits, rewards and utility setup all create drop off.

After previewing a streamlined, password-less flow supported by digital wallets and proactive nudges, the results were clear. It’s possible to simplify every step while preventing fraudsters from applying to your communities.

What this means for operators

  • A unified, password-less leasing flow reduces drop off and accelerates move-ins
  • Integrated partners and services allow renters to set up essentials in one place rather than navigating multiple apps and approvals
  • Automated prompts after move-in strengthen the early resident experience and support renewal decisions

How to go the distance in today’s market

Matt Seashols, director at Yardi, shared how a well-designed rewards program can strengthen satisfaction and reduce onsite workload. His biggest advice was to keep rewards easy — renters should earn points in the same place they already pay rent and submit work orders, not through a separate app. Seashols also encouraged operators to reward required move-in steps like purchasing renters insurance, paying deposits and signing up for internet. This speeds up onboarding, removes follow-up pressure from onsite teams and gives residents an immediate positive experience.

What this means for operators

  • Rewarding required move in steps helps renters complete tasks faster and reduces onsite follow-ups
  • Keeping rewards in the portal creates a seamless resident experience
  • Rewards can replace concessions and act as a marketing differentiator

Hot wings & hotter innovations

Yardi panelist at OutReach Live

This fiery panel (which involved the repeated consumption of increasingly spicy wings) offered a lively look at where Yardi is headed next, focusing on innovations designed to make renting easier for prospects and operations smoother for onsite teams. While most items are still on the roadmap, the themes give operators a clear sense of the benefits coming their way.

One standout preview was Engrain neighborhood maps, a new way for renters to browse all available units across a neighborhood before drilling into a single property. This aligns with how people actually search and can help operators surface more of their inventory to high intent prospects.

Top takeaways for operators

  • Future leasing tools will reduce friction and align more closely with real renter search behavior
  • AI will take on more proactive tasks, from move-in support to follow-ups and re-engagement
  • Unified marketing and media tools will help operators stay visible across all channels without extra workload

What operators can look forward to

Outreach Live highlighted that operators who simplify the renter journey and embrace AI-driven workflows will gain an edge in leasing, retention and operational efficiency. The insights shared here are a starting point to help your teams move faster and stay visible in a changing market.
