Solving AP bottlenecks in commercial real estate

Most commercial real estate teams using manual AP methods deal with two bottlenecks: invoice intakes and invoice approvals. Those friction points are getting invoices into the system accurately, followed by deciding what to do with them once they’re in the system.

An approver spends roughly the same time on a routine utility bill as on a flagged capital expenditure. Step one: Automating invoice intake with Smart AP

Accuracy improves over time, specific to your portfolio and vendor mix. Processing times and costs drop by up to 97% compared to manual scanning and data entry. As a result, invoice data stops living in a PDF and starts living in Voyager, already coded, flagged and ready for the next step.

Step two: Streamlining approval decisioning with Virtuoso Smart Approval Agent

Smart Approval sits on top of the PayScan approval workflow, so there’s no new system to learn. What changes is what happens to an invoice once it arrives. The core mechanism is a dual-agent review; one AI agent makes the approval decision and a second independent agent reviews and either confirms or challenges it. That check-and-balance doesn’t exist in a manual process and a single reviewer can’t replicate it reliably.

Confidence thresholds let you calibrate how much the system handles on its own. At the conservative end, both agents must agree at 85% confidence before an invoice clears, which is a good starting point for teams still building trust in automation. Drop the threshold to 70% and the system approves more invoices without a human touch, while still routing genuine exceptions to your team. You decide what works best for your business.

Approval rules are generated from your own data. Smart Approval analyzes your last 12 months of invoice history to build vendor-specific rules, then regenerates them monthly. Every decision is documented in plain language, clean for compliance, auditors and period-end close alike. Any auto-approved invoice can be returned to manual review and that feedback refines future decisions.

Why a single connected AP workflow changes the math
