Founded in 1980, Levcor is a commercial real estate development and investment firm based in Houston, Texas, with a primary focus on retail and mixed-use properties. Bronwen Harbour, Senior Vice President, oversees business processes and systems. When she joined the firm, property management technology was just entering the industry. She has since navigated multiple generations of platforms and knows what a real improvement looks like.

The challenge

Before implementing Forecast Manager, Levcor built its budgets in Excel. Bronwen was the only person who knew all the places data had to be updated for the reports to calculate correctly, which created a single point of failure. That meant repetitive tasks and room for error with inefficient collaboration across the team. Separately, the firm’s previous property management platform wasn’t delivering the functionality needed to scale efficiently. Collections tracking, tenant compliance and facilities management all needed more structure than the former system could provide.

A connected commercial platform built for accountability Levcor moved to the Yardi platform and has since built out a connected stack across Voyager 8, Forecast Manager, Facility Manager, Service Contract Manager and Deal Manager. The platform replaced disconnected processes with integrated workflows, giving every team member visibility into where work stands and who owns the next step.

The story

Forecasting that moves at the speed of the deal

With Forecast Manager, everyone can work on their piece of the budget simultaneously instead of waiting for information to move through a spreadsheet. Workflows keep each person accountable and the system shows where a budget sits at any moment and who owns the next step. While the accounting team adds entries, property management enters operating expenses. Bronwen processes income calculations and the team adjusts and updates until budgets are in line with requirements. When the leasing team adds a new deal to Deal Manager, or when a new lease is signed and activated in Voyager, the team can update projections and recalculate the budget immediately. Historically, a new lease meant updating multiple spreadsheets and rechecking formulas. Today, when leasing activates a deal, the impact on revenue projections and forecast assumptions is visible right away. Now Levcor can reforecast in hours instead of days. Property managers reallocate spending for the remainder of the year based on prior period activity and regular reforecasts keep the entire team on track for future budget periods.

Collections and compliance visibility in Voyager 8

Moving from Voyager 7S to Voyager 8 has been a smooth process. The dashboards put information in front of people faster and the activity feed creates visibility across departments. The collections dashboard lets the team tag tenants with risk factors, legal status and other criteria, then search and sort based on specific filters. Bronwen has filters set for annual reconciliation billing balances, tenants who owe more than $10,000, tenants who are consistently late, at risk of lockout, or in bankruptcy. The tenant compliance dashboard keeps the team current on tenant insurance status across the portfolio.

Fewer insurance claims through routine inspections

Levcor stays ahead of trip hazards and maintenance issues before they become claims. Facility Manager is central to how Levcor manages its properties and its insurance exposure. Beyond handling incoming work orders, Facility Manager generates routine inspections automatically, ensuring every property gets regular attention. Bronwen credits those inspections directly for the firm’s consistently strong insurance loss runs. Inspections can be detailed multi-step reviews or short summaries resolved with a photo or a note. Work orders in Facility Manager also generate POs that attach directly to the order, keeping vendor assignment, timing and resolution in one place.

Service contracts that close out clean

Service Contract Manager generates POs for routine service contracts automatically, which simplifies monthly expense closeouts — especially for contractors that are slow to invoice. All documentation related to each contract is attached and the full history of service provided is visible over time.

Looking ahead: AI across the platform

Bronwen describes herself as the AI catalyst for her company. Levcor’s team is already using AI to read leases for expense responsibilities and CAM language interpretation. The next step is connecting Yardi data and SharePoint lease documents through the Yardi AI Connector, enabling the team to audit CAM setups and catch potential billing errors before a tenant reaches the audit stage. “I’m anxiously awaiting the AI connector,” Bronwen said. “In my opinion, it’ll be a complete game changer in the way executives access the information they need in the format they want.”
