With a mission rooted in resident well-being and community engagement, Envolve has partnered with Yardi since 2001, growing from 4,500 units to 40,000 while running its entire technology infrastructure on Yardi Voyager through successive platform generations.

Managing invoices & spending controls

As Envolve Communities is in the midst of an aggressive, rapid approach to acquisitions. The affordable housing provider has added owned properties and fee-managed portfolios in waves of 15 or more at a time in recent years. The complexity of managing purchasing and accounts payable has grown in proportion, and establishing tighter financial controls without slowing down operations was essential.

Yardi Procure to Pay is a fully integrated procurement and accounts payable solution built within Yardi Voyager. It digitizes the entire purchasing cycle, from requisition and purchase order approval to invoice receipt and payment. Procure to Pay eliminates paper-based processes and manual data entry. Configurable multi-level approval workflows let organizations mirror their own authority structures, while direct integration with Yardi Marketplace connects staff to approved vendors for immediate, trackable ordering. Because it lives within the same platform as accounting and property management, every transaction ties directly to budget and GL data with no re-keying required.

From paper invoices to electronic workflows

For Jennifer van Arcken, SVP of Information Technology at Envolve Communities, Procure to Pay stands out as one of the most transformative products implemented in her more than two decades with the company. The shift from paper invoices to a fully electronic process removed a persistent bottleneck: invoices now enter the system automatically, routed through approval chains that Envolve configured to match its own internal authority structure. Whether a property has two levels of approval or three, the workflow reflects it. New acquisitions without an established budget can be placed into a separate workflow that bypasses budget-check requirements until one is in place. All of these benefits keep Envolve’s operations moving without compromising oversight.

Granular spending controls & Marketplace integration

The ability to tailor approval thresholds at a granular level gave Envolve a new degree of financial scrutiny across its 40,000-unit portfolio. Purchase orders are created, reviewed, and approved inside the system, and once approved, staff can place orders directly through Yardi Marketplace with qualifying vendors. Depending on the supplier, materials can arrive the next business day. Jennifer describes the combined effect as simply “a much smoother process,” one that has been running reliably for several years.

Portfolio-wide visibility under one platform

For a company in active acquisition mode, the value of a single connected platform compounds quickly. Maggie Murtaugh, SVP of Compliance, echoes the broader principle that drives Envolve’s technology vision.

“We seek to keep operations, accounting, compliance, procurement and more within one system. Our goals are to eliminate the friction of switching between platforms and to give leadership a real-time view of where the company is spending,” said Murtaugh.

That visibility helps Envolve identify cost anomalies it might otherwise have missed. For example, a recent review of platform-wide utility data, for example, surfaced a significant overpayment on water costs across certain properties. With Procure to Pay as part of that connected ecosystem, spending data flows seamlessly into the same financial oversight layer that runs the rest of the portfolio.
