Stirling Properties (Stirling) is a diversified real estate firm with a history of ground-up development and an expanding property management portfolio. Since first adopting Yardi in 2010, Stirling has relied on the platform to modernize operations, streamline processes and support its transition from a development-heavy focus to third-party property management.

The challenge

Modernizing operations and scaling without adding staff
Before Yardi, Stirling relied heavily on Excel to manage recoveries, renewals and tenant options — processes that lacked visibility, historical tracking and consistency. As the company shifted toward property management, they faced the added challenge of handling more properties, vendors and transactions, without increasing headcount. Stirling needed a platform that could eliminate manual tasks, improve transparency and support long-term scalability.

Voyager transitioned Stirling from fragmented spreadsheets to a centralized cloud-based ERP that provides reliable history, transparency and real-time data access, while Procure to Pay revolutionized accounts payable by connecting property managers, vendors and AP staff through automated workflows.

With VendorCafe, Stirling’s vendors submit invoices directly into the system. BillPay further streamlines payments, moving most vendors to ACH and credit card transactions and drastically reducing paper check runs.

CommercialCafe extends convenience to tenants, enabling them to pay rent and submit work orders online, which enhances service responsiveness and communication.

A cloud-powered transformation
When Stirling implemented Voyager in 2010, the shift was immediate and transformative. “It brought us from the dark ages to where we are now,” said Paul Mastio, CFO. Moving to the cloud not only modernized Stirling’s workflows but also enabled seamless remote work during the pandemic, setting the foundation for long-term operational resilience.

Efficiency for AP
Procure to Pay redefined Stirling’s accounts payable process. Today, more than 2,000 vendors submit invoices directly through VendorCafe, bypassing manual data entry and speeding up approvals. “Our AP person is managing the process instead of doing it,” explained Mastio. With BillPay handling most payments electronically, check volume dropped from thousands per month to just a few hundred — allowing Stirling to grow from 150 to 250 properties without expanding its AP team.

Tenant convenience and engagement
At first, CommercialCafe was a way for Stirling to simplify rent collection, but it also became a great tool for improving tenant communication. Residents now use the platform to submit work orders online, allowing service teams to receive, track and complete requests faster. “It’s been a game-changer for our property staff,” said Mastio.
