The challenge
Lack of Visibility into Maintenance
Service technicians using Washington Holdings’ previous maintenance management system had difficulty tracking work orders submitted by tenants, responding to requests in a timely fashion and managing preventive maintenance on approximately 1,000 pieces of equipment.
“Not knowing how many maintenance orders there were, or their status, was challenging for the accounting staff, for our construction project managers and for property managers who needed to give tenants timely maintenance service. We just didn’t have the necessary visibility,” recalled Sophie Vazeen, Assistant Vice President of Accounting for Washington Holdings.

Yardi Facility Manager, CommercialCafe
Washington Holdings adopted Yardi Facility Manager to automate preventive maintenance, inspection tracking, work order management, approvals, payments and team communication in a single system. The solution’s full integration with CommercialCafe, a tenant self service portal, enables tenants to submit and track work orders through a desktop computer or mobile device.

Multiple Maintenance and Accounting Enhancements
Replacing manual data entry and job tracking with automated processes gave Washington Holdings efficient work order entry, fast maintenance service to tenants and timely billing functionality.
For example, maintenance workers can manage their own jobs with Facility Manager. “They’re at the space, they do the work, enter the time, push a button, close the job and leave. Not having to take notes to a desk and fill in the information later gives them more time to complete other tasks,” Vazeen said.
Timely maintenance scheduling enabled by Facility Manager also helps prevent costly equipment repair or replacement.
Other benefits include immediate online tenant billing that helps Washington Holdings receive payment sooner, improving cash flow. Automated workflows ensure proper payment approval routing and eliminate the need for emails that can be slow arriving or go astray.
Furthermore, Facility Manager and CommercialCafe combine with Yardi Voyager and Yardi Construction Manager to give Washington Holdings comprehensive financial planning capabilities that include capital planning, project management and automatic bank reconciliations.
“The ease with which Yardi products connect to provide reliable, real-time data shows how seamlessly business can be conducted. Our maintenance and accounting team members don’t need to spend time confirming with three or four other people because we have all the tools in front of us,” Vazeen said.
