Big V Property Group owns and operates over 50 neighborhood and community shopping centers totaling over 9.5 million square feet, primarily located in the southern U.S. Big V is headquartered in Charlotte, NC with offices in Murfreesboro, TN, San Antonio and Austin, TX and Florida, NY. With the motto “Tenant Focused. Limited tenant services

As a longtime Yardi client, Big V Property Group used an early version of Yardi’s tenant portal to eliminate paper statements that were previously printed, mailed to tenants and then, paid by check. The company’s new system represented a significant improvement over paper-based and manual processes. However, to better serve tenants and streamline financial and property operations, including communication, the company needed to expand its online service offerings.

Big V Property Group added CommercialCafe to its Yardi platform to replace manual processes and to offer a range of online services for tenants including communication tools. CommercialCafe provides an easy-to-use tenant portal for convenient self-service maintenance requests, rent payments and account access including leases and charges. Both tenants and staff appreciate these features that reduce manual effort and expedite transactions. The solution also includes event calendars and announcements that keep tenants connected at Big V Property Group’s thriving open-air shopping centers.

Comprehensive tenant services

With a focus on tenant satisfaction and success, the company has been delighted with the all-in-one CommercialCafe platform to expand its offerings to tenants (while making life easier for employees, thanks to online transactions and self service). The platform offers Big V Property Group’s tenants anytime access to their lease documents, and they can review charges and communicate directly with property managers or leasing agents in the app. The integrated and streamlined system also allows tenants to submit work orders at any time which are quickly assigned to a tech or vendor, so even minor issues like a flickering light are addressed immediately. Oversights are a thing of the past.

According to Sean Glander, vice president – controller at Big V, CommercialCafe is a game changer for the company. “We seamlessly handle work orders, messaging and announcements that are crucial to tenant satisfaction and success. Many of our lifestyle centers show movies and host a variety of events, such as movies in the park, a blood drive or music series. We can send notifications in CommercialCafe to help our tenants align their business with the events happening at the center. Being able to accomplish all these things in CommercialCafe is absolutely phenomenal,” elaborated Glander.

Tenant lifecycle transparency

CommercialCafe also provides insight into the entire tenant lifecycle. In Glander’s words, the platform adds a layer of transparency to its operations. For example, a tenant can enter a work order and the property management staff is notified immediately when the work order is opened by the maintenance team or vendor. At the same time, the accounting department can see any past due bills and contact the tenant, along with ensuring the maintenance request is being take care of. This transparency organically creates internal collaboration and enhances service. “When somebody calls and says, hey, I have a question, we can see the entire spectrum of that tenant’s lifecycle all in CommercialCafe,” added Glander.

To support the company’s expansion, Glander noted that moving to Voyager 8 and continuously adopting Yardi solutions to create a modern, end-to-end business platform is key. Big V Property Group has expanded its service offerings from the simple tasks of sending tenant statements and processing rent payments to becoming a vertically integrated organization. “We are tenant focused. We’re hosting events at properties and encouraging tenants to take advantage of those events to increase their sales whether they operate a boutique or a restaurant. If we can increase foot traffic and help drive sales for our tenants, everyone wins. We grow together,” enthused Glander.
