The technology decision a PBSA operator makes today will shape their operational capability and competitive position for the next five to seven years. 1. Do all your products run on a single database, or do they connect via integration?<\/h2>\n\n\n\n

This is the foundational architectural question and the answer will shape every evaluation that follows. A platform where all modules \u2013 leasing, accounting, maintenance, payments, compliance \u2013 share a single database has no data sync delays, no reconciliation overhead and no AI data gaps.<\/p>\n\n\n\n

2. How does your AI access operational data and how current is that data?<\/h2>\n\n\n\n

The reliability of any AI product in PBSA<\/a> depends on the freshness of the data it reads. An AI that reads from a synchronised copy of operational data is not reading live data \u2013 if the sync runs hourly the AI is an hour behind and if there is a reconciliation step involved, it may be days behind. For AI to handle enquiries reliably \u2013 confirming live availability, quoting current rents, checking payment status \u2013 it needs to read directly from the operational source.<\/p>\n\n\n\n

The answer to look for confirms that the AI reads from the same operational database as the leasing and finance teams, with no separate data layer and no delay between operational reality and what the AI can see. Treat any reference to ‘real-time data integration’ with scepticism \u2013 real-time integration is not the same as reading from a single live source.<\/p>\n\n\n\n

3. Can I access real-time net operating income and fund performance without manual steps?<\/h2>\n\n\n\n

A 2025 Warwick Business School report found that 41% of real estate companies report dissatisfaction with their data quality<\/a> and in most cases the root cause is a manual reporting chain that introduces delay between systems. If arriving at a current net operating income figure requires a member of the finance team to run an export, reconcile two systems and compile a spreadsheet, that figure is already out of date by the time it is produced. The answer to look for confirms that net operating income is calculated live from the same database as the leasing and accounting records, with no separate reporting process required to generate it.<\/p>\n\n\n\n

4. How many integration points does your platform require to function?<\/h2>\n\n\n\n

5. What does your AI roadmap require from the data architecture?<\/h2>\n\n\n\n

The AI capabilities available today are the starting point of a much longer development curve. Agentic AI \u2013 which acts proactively on operational data rather than responding to prompts \u2013 will be the defining capability of the next phase and it requires a single, live, unified data source to function reliably. A vendor building an AI roadmap on top of an integration-connected architecture is building on a foundation that will constrain that roadmap at every step.<\/p>\n\n\n\n

The answer to look for confirms that the AI roadmap is built on a unified database, with each new capability reading from the same live data source. Be cautious of answers that describe significant AI investment and exciting integrations in development. In this context, an integration is not a solution \u2013 it is the problem being described in a different language.<\/p>\n\n\n\n

These questions are not designed to put any specific vendor at a disadvantage \u2013 they are designed to surface the information that determines whether a platform will perform as promised over a five to seven year horizon. The answers will tell you considerably more about a platform’s long-term capability than any feature comparison or product roadmap review.<\/p>\n\n\n\n
